Who we are

Lunova is school management software for private language schools, provided by Lunova. This policy explains what we do with personal information on this website and inside Lunova.

Two different roles

• On this website, and for the people who buy and manage Lunova for their school, we decide how information is used. This policy covers that.
• Inside Lunova, the student, staff and financial records a school keeps belong to that school. We process them only on the school's behalf and instructions, under our Terms and Data Processing Agreement. If you are a student or guardian, the school is responsible for your records: please contact it first, and we will help it answer you.

What we collect

• Demo requests: name, work e-mail, phone if given, school name, role, school size, country and your message.
• Accounts: name, e-mail, role and sign-in activity of the people who use Lunova, and records of changes they make (an audit trail schools rely on).
• School records: what each school enters, such as student profiles, passport and visa details for F-1 students, attendance, grades, documents, invoices and payments.
• Technical data: IP address, browser and device information in server and security logs. We use only the cookies needed to keep you signed in and to protect forms. We do not use advertising trackers.

How we use it

To provide, secure and support Lunova; to arrange demos and answer requests; to bill schools; and to meet legal obligations. We do not sell personal information, and we do not use school records for advertising or to build profiles.

Who else receives it

We share personal information only with the service providers that run Lunova, under contracts that limit their use of it:

• Akamai Connected Cloud: hosting of the application and databases, in the United States.
• Cloudflare: network security, DNS and the bot check on our forms (Turnstile).
• Stripe: payments that students make to their school, and schools' payments to us.
• U.S. government systems the school chooses to use through Lunova, such as SEVIS.

When you provide personal data in connection with payments on Lunova, Stripe receives that personal data and processes it in accordance with the Stripe Privacy Policy.

We may also disclose information when the law requires it, or to protect the safety of people or the service; and to a successor if Lunova's business is transferred, under the same protections.

How we protect it

Each school's data is kept apart from every other school's. Connections are encrypted, access is limited by role, sensitive credentials are stored encrypted, and changes are recorded in an audit trail. We follow the Massachusetts standards for the protection of personal information (201 CMR 17.00).

How long we keep it

School records are kept while the school subscribes. After a subscription ends, the school has 30 days to export its data; we then delete it, and backup copies are erased within 90 days. Demo requests are kept for up to two years unless you ask us to delete them sooner.

Children

This website is not directed to children. Schools may enroll students under 18 in Lunova; the school is responsible for obtaining any consent required from parents or guardians.

Your choices and rights

You can ask to see, correct or delete the personal information we hold about you as a website visitor or account user by writing to [email protected]. For school records, contact your school. We will not treat you differently for making a request.
